Project: Vision Board Party 2020
Location: Brella; Playa Vista, Ca
Audience: 10 influencers
This vision board party was in Los Angeles, California, without any site visit. Brella is a demand focused childcare service. Since the client was hosting her son’s birthday party there the next day. We thought it would be great to use the versatile space for an intimate vision board party.
I would be traveling in the morning of the party to help the host execute the vision board party set up. I had most of the supplies and décor shipped to the venue. Small details like magazines and stickers would be coming with me.
My flight was delayed on the morning of my departure. This put me on a later flight. My first landing time allowed 5 hours to check in to my hotel, downsize my travel bags for event necessities and finish set up with time to spare. My new time allowed me an hour from deplaning to start time.
There were still materials and refreshments that needed to be unboxed and set up. And an essential element for the vision board party was with me – the magazines.
I was able to contact a collaborated that was able to start unboxing material and organizing them for me. I had a friend prepare refreshments that I simplified and ordered from a store in the area.
Before I left home, I packed a carry-on bag that included everything that I would need at the event. Now, I did not have to rummage through my suitcase to find the things in need. I stored my checked bag at the venue and unpacked everything I needed from the carry-on.
Because the set-up time was going to run into the event time by 3 minutes, I had the photographer shoot pictures of guests around the decor. Then, the guests ate the snacks and refreshments that I previously set up.
Once that was done and the hostess was still greeting guests, I changed for the event slipped in the nursing room around the back of the venue.
Being able to think quickly on your toes is not something that you can readily practice. Even if you do, it is vital to have a network of people even outside of your immediate location that can step in on your team.
Flight delays are too common, so I try to plan for that, but sometimes events leave you with a limited window, so you better make sure your team is in place to step in.
Ultimately, preparation and organization saved The potential crisis was. The group was small, but that doesn’t narrow the stakes for an influencer’s event!
